How can I manually edit an automatically created transcript in MAXQDA?

After automatic transcription, you can still edit your transcript. You can make changes to the document in edit mode. The easiest way to do this is in transcription mode.


Open Manual Transcription Mode

Right-click on the document and select Transcribe video file > Transcribe manually


Edit the Text

Open the transcript. If you activate the editing mode, you can edit the text of the transcript.

Please deactivate the editing mode immediately after editing so that no unintentional changes can be made.


Insert a Speaker

Add the speakers manually in edit mode. You can use the autotext function in transcription mode so that you only have to enter one character + 2 spaces for the speaker's name.


Rename Speaker

You can use the search and replace function to rename the speakers. For example, search for S1 and then enter the desired name in the replace field. Then click on "Replace all".


Insert time stamps

Timestamps link the text passage with the spoken word in the media file. With automatic transcription, a time marker is always set when the speaker changes. If the speakers are not differentiated during automatic transcription, no time stamps are set. You can set time stamps subsequently. Timestamps can be added in transcription mode and in edit mode.

Time stamps can be added via the "New time stamp" button or via the F6 key.


  1. The transcription mode will now open.  
  2. Activate the "Timestamp after Enter" function in the transcription settings. 
  3. Play the audio file using the space bar, F4 or the play button and stop it at the end of the first speaker, just before the second person's speaker begins. 
  4. In your transcript, click on the appropriate place between the two speaker and press Enter. 
  5. The paragraphs are now separated, and a time stamp is set. 
  6. You can then add the speaker abbreviations manually.



Tip: Delete the last time marker of your transcript first and then set the new time markers from the beginning.
